Choosing an Outdoor Venue in Ibadan: What to Check Before You Pay

Why outdoor venues dominate Ibadan events

Indoor halls in Ibadan that seat over 300 comfortably, with reliable power and adequate air conditioning, are expensive and scarce. Outdoor venues — hotel grounds, private estates, dedicated event gardens — offer more space, more flexibility and usually a lower rate.

The tradeoff is exposure. An outdoor event is exposed to sun, rain, dust and noise in ways an indoor one is not. Choosing the right outdoor venue is not about finding the most beautiful space; it is about finding the one whose problems you can solve.

Power: the question that eliminates half the options

Every outdoor venue in Ibadan advertises power. Very few of them mean what you need them to mean. What you need to ask:

  • Is there a standby generator, and what is its capacity? A 20kVA generator will not run a full PA system, lighting rig and catering warming stations simultaneously. If you are running AV for more than 200 guests, you need at least 40kVA dedicated to your event — not shared with the venue's own load.
  • How fast is the changeover? When IBEDC supply drops, the gap before the generator starts is the gap your MC fills with nervous laughter. Automatic changeover under 10 seconds is the standard; ask whether it is automatic or manual.
  • Where are the power drops? Extension cables running 50 metres across a lawn are a trip hazard and a voltage drop. The best outdoor venues have multiple distribution points. Ask your event decorator to plan the layout around where power actually is.

If the venue cannot answer these questions clearly, budget for a separate generator hire. Your event coordinator can arrange this, but it needs to be in the plan from the start, not added the week before.

Shade and weather

The sun in Ibadan between February and April will clear an uncovered seating area by noon. Guests do not sit in direct sun; they migrate to whatever shade exists, and your carefully planned seating arrangement disappears.

If the venue has no permanent shade structures, you need canopies — and canopies need anchoring. Ask about ground conditions: a canopy staked into soft laterite holds; one placed on paved stone without ballast does not.

Rain is the other variable. Ibadan's rain can arrive in 20 minutes and stay for two hours. Your plan should answer: if it rains at 2pm, where do 300 guests go? If the answer is "nowhere," the venue is unsuitable for anything between April and October without a marquee, and a marquee for 300 costs as much as some indoor halls.

Vehicle access and parking

A venue can be beautiful and unreachable. Check:

  • Road condition in the wet season. Some of Ibadan's best outdoor spaces are off unpaved roads that become impassable after heavy rain. If your event is between May and September, drive the route after a downpour.
  • Parking capacity. 300 guests means 80–120 cars. If the venue has parking for 40, the overflow blocks the access road and your last 50 guests spend 30 minutes walking. Ask about overflow arrangements.
  • Vendor access. The caterer's truck, the decorator's van and the generator truck all need to enter, unload and park. If the venue has a single narrow gate, your setup timeline compresses around a bottleneck.

The walkthrough checklist

Visit the venue at the same time of day your event will run. What you are looking for:

  1. Where does the sun hit at 1pm? Stand where the high table will be. If the sun is in the guests' eyes, move the layout or add shade.
  2. Where does water pool? After rain, walk the lawn. The low spots are where your guests' chairs will sink.
  3. What does the neighbourhood sound like? A venue beside a busy road or a church with afternoon services will compete with your MC for the entire programme.
  4. Where are the toilets? Outdoor venues with inadequate sanitation facilities are common. Mobile toilet hire is not optional above 150 guests — it is basic hospitality.
  5. Where is the nearest hospital? For events above 200 people, this is a duty-of-care question, not paranoia.

Bring your event planner to the walkthrough. They will see problems you will not, because they have set up at venues like it before.

Security and crowd management

An outdoor venue is, by definition, harder to control than an indoor one. There is no single door. The perimeter is often open. Uninvited guests at large events — particularly weddings and milestone celebrations — are a reality in Ibadan, not a hypothetical.

If your event is above 200 guests, budget for professional security at the gate and at least one roving officer inside the perimeter. If the event includes a VIP, your security requirements multiply — and your planner or event coordinator should brief the security team on the programme, the arrival sequence, and the car park management plan.

Do not leave car park management to chance. A single attendant directing 120 cars into an unsurfaced lot at dusk is a recipe for blocked access, scratched vehicles and guests arriving angry. Assign the car park the same planning discipline you give the event itself.

Pricing and what it includes

Outdoor venue pricing in Ibadan varies widely. Some venues quote a flat rate that includes chairs, tables, canopies and power. Others quote the space alone and everything else is extra. Get the breakdown in writing before you pay.

The items most commonly excluded from the "inclusive" rate: generator diesel, additional canopies beyond the standard set, cleaning after the event, and security. If the contract says "power included," confirm whether that means IBEDC supply only or generator as well.

How styling works outdoors

Outdoor event decoration is a different discipline from indoor. Wind affects balloon arches and lightweight draping. Sun bleaches certain fabric colours by mid-afternoon. Rain destroys paper elements and unsealed wood.

The best outdoor decor in Ibadan works with the environment rather than against it — natural tones, sturdy structures, lighting that comes alive at dusk. If your event runs into the evening, the lighting design is the single biggest lever you have: a well-lit outdoor space after dark feels magical in a way that no indoor hall can match.
