Coordination or Full Management? Which One Your Event Actually Needs

Two of the most commonly confused services in this industry are event coordination and full event management. People often ask for one while describing the other, then find the quote surprising in either direction.

The distinction is simple once you see it, and getting it right early saves both money and a great deal of frustration.

The short version

Full event management is the whole project. It starts at the first conversation about what you want the day to feel like and runs through budgeting, venue sourcing, vendor selection, contracts, design direction, the run-of-show and the event itself, ending when the venue is handed back.

Coordination is the final layer only. You have done the planning — venue booked, vendors chosen, design decided — and you want a professional team to run the day so that you are a guest at your own event rather than its project manager.

One is a months-long engagement. The other is a defined handover a few weeks out. They are priced accordingly.

The deciding question is time, not money

People usually approach this as a budget decision. It is really a time decision.

Ask yourself honestly: over the next few months, do you have the hours and the appetite to source vendors, compare quotes, negotiate, review contracts, chase deliveries, build a timeline and keep every supplier aligned as things change?

If yes, and you enjoy that kind of work, coordination is the right shape. You keep control of the decisions and hand over the execution.

If the answer is "not really" — or if you have a demanding job, or you are planning from another city, or the event is large enough that the coordination is itself a substantial undertaking — then full management is what you are actually looking for. It absorbs the part that would otherwise become a second job.

What coordination assumes you have already done

This is where most mismatches happen. Coordination assumes the plan exists.

That means a confirmed venue, booked vendors with signed agreements, a decided design, a guest count, and a rough sense of how the day should run. A coordinator takes that and turns it into a minute-by-minute run-of-show, confirms every supplier, and manages the day against it.

If those pieces are not in place, a coordinator cannot start — there is nothing to coordinate. We would rather say that at the enquiry stage than take a booking and discover it three weeks out, which is why the first conversation is usually us asking what you have already decided.

Handover typically begins two to four weeks before the date. That is enough time to confirm vendors, walk the venue and build the timeline, without so much lead time that everything has to be revisited.

What full management adds

The additional work is mostly invisible, which is exactly why it is easy to underestimate.

It is budget planning and tracking, so you know where the money is going before it goes. It is venue sourcing and site visits — checking access, power and layout before recommending anything, because those decide what is actually buildable. It is vendor sourcing, negotiation and contract review. It is design direction across decor, furniture, tableware and guest experience so the whole thing reads as one idea rather than four separate purchases.

And it is a single point of contact. One lead planner rather than a committee, which matters most on the day something needs to change: it changes once, rather than being renegotiated across four suppliers.

Scale changes the answer

A 60-guest dinner with two suppliers is genuinely coordinatable by someone organised. A 400-guest celebration with a stage build, multiple caterers, live entertainment and a separate ceremony venue is a different proposition — the coordination alone is a full-time role for several people in the final fortnight.

Catering, seating, rentals and decor all scale almost directly with headcount, so the number of moving parts grows with the guest list rather than staying flat. Our guide to celebration costs covers how sharply that curve bends between 100 guests and 400.

Somewhere in that range, most people who intended to self-plan decide they would rather not.

How many people will actually be there on the day

Worth asking whoever you hire, in either model. The answer depends on guest count, venue size and how many things happen at once — a single-room event needs fewer people than one with a separate ceremony and reception venue.

We recommend a team size at quoting stage and explain what each person covers. Be wary of a quote that does not mention team size at all; on the day, that number is the service.

You can start with one and move to the other

This is not a decision you are locked into. Plenty of clients begin intending to plan it themselves, get three months in, and hand the rest over. That is a normal and completely reasonable thing to do.

It is easier if you say so early. Picking up a half-planned event means auditing what has already been committed — which vendors are booked, on what terms, with what deposits — before building the plan forward. That is work we do routinely, and it is considerably less work at three months out than at three weeks.

Which one should you ask us for?

If you know what you want and have booked most of it: ask about coordination.

If you have a date, a rough budget and a feeling of not knowing where to start: ask about full event management.
